DocSolid Announces General Availability of Airmail2 Digital Records Room

Successful Rollouts Across Early Adoption Firms in AM Law 200

PHOENIX, AZ – (September 8, 2021) – DocSolid, the legal technology experts for enterprise scanning, workflow and paper reduction solutions, announces general availability of Airmail2 Digital Records Room after successful implementation and roll outs in key Am Law 200 early adoption program firms.

Airmail2 Digital Records Room is a firm-wide system of software, workflow and firm services to digitize paper records to the DMS (including iManage or NetDocuments). A best-of-breed solution, Airmail2 Digital Records Room replaces paper file rooms, enables real estate compression and delivery of file requests for attorneys working from home to ultimately stop the flow of paper records to offsite storage.

The legal sector is predicted to downsize its real estate needs on average 10% to 30% according to Cushman and Wakefield, a tremendous savings opportunity for firms’ second largest overhead expense (roughly 6-8% of gross revenue). Law firms need a digital records room to eliminate the costly footprint required for paper file storage rooms to optimize this opportunity for real estate reduction.

Interdependent with real estate reduction is the permanent and active trend of enabling a hybrid workforce workflow. The vast majority (76%) of attorneys prefer the continuance of work from home, and the Cushman and Wakefield Bright Insights 2021 report confirms a majority of firms will have staff working remotely for a minimum of two days a week, with most firms (76%) incorporating aspects of hoteling for a population of their attorneys.

A hybrid workforce of in-house and at-home attorneys cannot be supported securely or efficiently when records room workflows are paper-based. Clients expect their law firms to be productive and secure, but attorneys cannot be productive when file requests can take hours or days.  Attorneys using paper files in their home offices simply isn’t a sustainable practice.

Airmail2 Digital Records Room runs bulk backfile conversion projects and provides a day-forward operation for keeping file rooms digital. While file rooms and offsite storage are being eliminated, Airmail2 services file requests for in-home and in-office workers by scanning to the DMS, then sending smart notifications of delivery in minutes.

Airmail2 is designed specifically for the records room scan capture requirements in a law firm, with focus on productivity, flexibility and process integrity that includes:

  1. Certified DMS integrations for iManage and NetDocuments, adaptable to specialized client configurations
  2. DMS mapping so that operators can perform profiling without having a DMS login
  3. RMS integrations to employ existing bar codes on matter files for inventory and profiling
  4. Quality controls for comprehensive QC workflows to ensure confident shredding and disposition
  5. Administrative and monitoring tools – help desk, dashboard, audits, reporting
  6. Stable deployment – enterprise-class server and security regimes, Web-based clients, mature DMS integrations and universal scan device support

Airmail2 Digital Mailroom, the companion solution for secure, digital delivery of daily mail to keep employees productive wherever they work, was released Q4 2020.

“Digitizing paper records has a new, clarified ROI – real estate reduction,” said Steve Irons, President of DocSolid. “Airmail2 Digital Records Room optimizes a backfile scanning project to digitize existing paper files and lets a firm service home workers with digital file deliveries through the DMS. Law firm planners can now include reduction of the paper footprint as part of the real estate strategy.”
